Organize Your Time

As a rule, nowadays most top managers in big companies have special people in the team (secretaries, personal assistants) who try to plan and arrange their tasks and daily routine so that to get the maximum efficiency from their performance. If you are not a ‘big boss’ and have no secretaries to satisfy your needs, learn how to manage your time efficiently yourself. You can apply some common techniques and tools that will help you stay in control of your tasks and be sure that you have done everything you have to do – nothing is left or forgotten.

Here are some tips or pieces of advice that have helped me to organize my work effectively.

• Install time management software in your PC or a laptop. It’s the most effective way of managing your daily (or weekly) tasks. As a rule, I start my working week on Sunday evening when I try to plan and arrange my next week carefully and efficiently – I put down all the tasks and appointments that I have to complete (or continue) with the exact time limits.

• Look carefully at the appointed and repeating tasks. If possible, reduce some time on each task, especially if the task is repeated (a second time the task is likely to be done more quickly). Whenever practicable, combine two tasks. Some companies have a strange habit of having regular meetings, for example, on Monday mornings or Friday afternoons even if they don’t need them – avoid such practice.

• Set priorities. It will let you concentrate on more important things at first. But do not neglect or forget about minor tasks – if you put them off till the end of the week, they can turn into a pile of uncompleted tasks which will bury you.

• Do not forget that importance is not the same as urgency. Even if the task is less important but urgent, you have to do it first. I have the following rule: if two tasks are both important, I do a more urgent one first; if two tasks are both urgent, I do a more important one first.

• Have some time for unexpected tasks. Do not make appointments one after another – leave some time in case of some emergency or urgency.

• Adhere to your plan as much as possible. But at the same time try to be flexible – if necessary, change or replace tasks.

Knowing the main principles of effective time management can help you become a successful manager. If you know how to manage your own time, you are likely to know how to manage your employees and your team.

Personally, I’ve been using special management software, which is an innovative tool for tracking tasks. Moreover, task tracking software has an interesting option of turning your e-mails into tasks with just one click. That’s really convenient especially if you get your tasks by e-mail.
