Time Management-the Basics

Time management is probably one of the key areas a manager has to develop if they are going to be successful. Time management is basically the ability to get a certain amount of work done in a specific time period.

We have all heard the expression “boy what a long day” When in reality we all have the same 24 hours in a day to accomplish our tasks. We have a lot of things to do in a span of 24 hours, many managers have a difficult time setting their priorities and working on projects that must be done first. There are a lot of distractions in our job that take us away form the things we need to accomplish. A good manager, one who is effective in time management learns to deal with those distractions while still accomplishing their tasks. Then how do you manage your time?

Managing your time is not that difficult. With a little effort it can be done easier than you think. The first thing you have to do is train yourself to do your most important job first. This is what sets good manager apart from those who will always have time management problems. When you realize what is most important it will help you deal with the distractions that come up.

It may be easier said than done, but realizing your priorities is your first step. The easiest way to get started is to make a list of the things you have to get done. Many things will pop into your head throughout the day and you may think you will remember, but trust me you will forget some things. By writing down your tasks they are with you all the time. At the beginning of the day go over your list and prioritize it. Tackle those most difficult ones first. You will find that by doing this your day and job will become easy. You will have a sense of accomplishment at the end of the day.

By doing this, you show your boss a sense of responsibility and that you can get things accomplished. You may not accomplish everything on your list in one day. Some tasks might be a two or three day process. What ever tasks you were not able to complete, goes to the top of your list the next day when you sit done to prepare for that day. I learned early in my career that a boss will only accept “I forgot” for so long. While forgetting can happen, when you have your list it minimizes that risk. When meeting with your boss and he asks what you’ve done for the day, take out your list and go over it. Again, this shows your are taking responsibility for your actions and are accomplishing your tasks.

Knowing what your priorities are is just the first step. You should always find time during the day to rest your mind. During this time you can go over your list and determine if how you’ve prioritized it is correct. You might decide that some of the less important tasks can be done the next day, thus making your list shorter on the current day and giving yourself a pat on the back for completing your list for the day. Now I’m not suggesting putting off things for tomorrow the things you can do today. Perhaps your list for the next day is not that big. Moving less important tasks gives you enough work for the next day. You will find that as you make a list everyday you accomplish more each day. As time goes on your lists for the day will be shorter and shorter. You will see that you have more time during the day to get more done.

Proper time management is a hard task, but once you develop this skill you will see how effective you can be.
