Reducing Work Stress, Part 1: Beating Desk Stress

Desk stress – stress from having a cluttered workspace – is a real detriment to work productivity in the office. If you don’t have an organization system in place, your desk can quickly be consumed by papers, memos, notes, pens, and other clutter. Having a desk overwhelmed with such disarray can overwhelm you with stress and decrease your office productivity as you try to sort through the mess. Follow these tips to maximize desk space, reduce desk clutter, and improve your stress and productivity levels in the office.

1. Start with a clean sweep – Remove everything from your desk and sort it out. What needs to stay, and what can go?

2. Make a place – Necessary items need a designated place where they belong. Put papers or memos into alphabetized files, get a desk organizer for pens and paper clips, use desk trays for time-sensitive projects and to-do lists, etc.

3. Limit personal items – It’s fine to have photos or trinkets in the office, to remind you of family, friends, and other important people and things, but limit how much real estate they take up on your primary workspace. Try to limit personal articles to one or two on your desk. Mount photos on the wall, or get a small shelf for displaying them.

4. Have a system – When new paperwork comes to you, make sure it has a place to go. Keep an inbox and sort it throughout the day. What papers need to stay, what can be thrown away or recycled, what should be filed for later, and what needs immediate attention?

5. Don’t leave without clearing the clutter – At the end of the work day, take a few minutes to make sure your desk is clear. The inbox should be empty and all items should be in their assigned place.

6. Keep accountable – It is easier to stay organized than it is to get organized. Keep yourself accountable for maintaining a clear workspace and keeping your desk free of clutter. It will reduce your work stress to see a clean space in the morning, and having an efficient organization system will increase your productivity.

7. Relax – Take some time now and then to take a break from work. Look away from your computer screen for five minutes every hour to keep your eyes and body more relaxed. Looking at your computer screen for many hours without a break can cause additional strain on your eyes, making you less productive in the long run.
