Tools For Better Time Management

Effective time management includes some important activities and these include:

1-Prioritizing: There are two main ways for prioritizing your tasks. The first method is Stephen Covey's method which is about dealing first with the top urgent tasks and then move to less important. This method was explained in detail in his best selling book "First Things First." Another method is adopted by Brian Tracy in his book "Eat That Frog" which is about dealing first with the most difficult task and then tackle easier jobs. Both methods prove to be successful and efficient. The question is not which method is better than the other, rather it is which method suits your personality. Some persons prefer to deal with easier tasks and then move up for harder tasks, and the method of Stephen Covey in this case suits them better. Others like to get rid of heavy burdens of hard tasks, and this is why Brian Tracy's method is more suitable for them.

2-Planning: Planning for your day in advance is important for better time management. You determine what tasks you want to achieve in a single day and then write them down in To Do List or a task organizer. In each field, you write down how long each task will require to get it done. You can make big tasks smaller and combine them so as to make it easier for you to manage them. Task organizers are very helpful for business time management. They also boost your motivation level and allow you to be more focused on your schedule. Planning can be daily and also weekly.

3-Setting goals: Goals that are specific with deadlines are useful for time management. The goals have to be realistic in order for you to determine what steps needed to achieve them.

4-Setting deadlines: Deadlines are crucial for time management. Set up a deadline for each project and try to meet it before it ends. This way you will have more time and energy to make any last minute changes.

5-Delegation of responsibilities: You can not do everything on your own, and this is why you need to learn to say "No". Say no to the task but yes to the manager. It is a learned skill. This way you can maintain good relations with your group and still be able to manage your task. One example is Richard Branson. According to him, he learned at a young age to delegate some responsibilities, and to him that was a key factor for success.

These tools are very helpful in reducing work burnout. Work pressures are increasing, and most employees worldwide are suffering from these work burdens. However, majority of people don't use these tools. According to Tonny Robbins “Once you have mastered time, you will understand how true it is that most people overestimate what they can accomplish in a year — and underestimate what they can achieve in a decade!”
